What is a Permit to Work system ?

A permit to work system is a formal process for controlling high-risk work. It records what work is being done, where and when it will take place, who is authorised to carry it out, what hazards are present, what controls are required, and how the work will be handed back safely.

Pisys digitises this process by connecting permits with risk assessments, isolations, contractor competence, SIMOPS checks, approvals and reporting.

Permit Module

Our permit module lets you create, issue and manage permits for all types of hazardous work – including working at height, confined space entry, hotwork, and excavations. It also allows you to add and manage worksites and contractor companies, confirm that a site visit has taken place, double check that you have all relevant documentation in place and approve permits – ensuring that nothing ever slips through the cracks.

Best of all though, it has a virtual permit board that mimics the permit boards found in most site offices – allowing you to view all current permits in one place, irrespective of where you are.

Isolations Module

Our isolations module allows you to view and manage planned or real isolations across all of your work sites. Rendering isolations on plot plans ensures that you always have a true visualisation of all relevant environments and hazards.

An innovative lock-out/tag out system for hardware, full integrations with all relevant permits and customisable workflows all help you manage complex or long-term isolations. Our isolations screen is simple to use; ensuring that you always have access to all relevant information in an easily-digestible format.

Contractor Management Module

Having a centralised system for managing contractors helps to ensure compliance with safety regulations and provides real-time visibility of the project.

Whole contractor companies and/or individual personnel are approved to work on certain types of Permits or locations, and their competencies recorded before the work begins.

The system keeps track of your company requirements, saves copies of their certificates, and flags up expiry/renewal dates.

And as all data is recorded centrally, anyone managing a permit can have immediate access to all relevant contractor data before authorising the work.

Deliver and Monitor Inductions

The Inductions Module is designed to streamline the onboarding process for contractors, ensuring that all necessary training, compliance, and safety protocols are met before they begin work.

Module Workflow

Pre-Induction Setup
Administrators predefine training modules, compliance checklists, and document requirements based on contractor types. This setup ensures consistency and clarity in the onboarding process.

Invitation to Contractors

Once the contractor is selected, they receive an automated invitation to access the New Inductions Module via email, which includes login credentials and a link to the platform.

Completion of Training

Contractors log in to the module and complete the required training sessions. Progress tracking features allow them to see their completion status in real time.

Ongoing Monitoring

The system continues to monitor contractor compliance throughout their engagement, prompting any necessary renewals or additional training as required.

Handling Documentation

With a cloud-based system the team can log details of insurances etc and have the system automatically flag any issues - so when a contractor is assigned to a work task the system immediately lets them know if there is a problem so that they can address it before the contractor arrives. When that system is fully integrated with a Permit to Work system they are able to assign contractors to permits quickly and easily, and manage the process from start to end.

Task Risk Management Module

Task Risk Management is a useful way to integrate the principles of task analysis into a wider risk management process. Our task risk management module focuses on accessibility and ease of use.

At the top level we define an activity and the job steps associated with the task including hazards associated with the job step. We also define the severity and likelihood associated with the risk pre-mitigation and apply controls to help mitigate the risk. Finally we set the post-mitigation likelihood and severity. This provides an accessible Risk Assessment Method Statement (RAMS) that can be used within the Permit to Work system.
