The following is a full list of features that were implemented in PTW v1.7.6.5 release.

 1.1.1.Inductions Module as part of Contractor Management

Our new Inductions Module is designed to streamline the onboarding process for contractors, ensuring that all necessary training, compliance, and safety protocols are met before they begin work. This module is an integral part of our Contractor Management system, fostering a safe and efficient work environment while maintaining compliance with legal and organisational standards. The module provides an intuitive interface for both administrators and contractors. Users can easily navigate through various sections, access training materials, and complete necessary forms without confusion. To ensure compliance with industry standards and regulations, the module monitors the completion of training and document submission. Alerts and notifications will be generated for any outstanding requirements, helping both contractors and administrators stay informed.

Module Workflow

  • Pre-Induction Setup

Administrators predefine training modules, compliance checklists, and document requirements based on contractor types. This setup ensures consistency and clarity in the onboarding process.

  • Invitation to Contractors

Once the contractor is selected, they receive an automated invitation to access the New Inductions Module via email, which includes login credentials and a link to the platform.

  • Completion of Training

Contractors log in to the module and complete the required training sessions. Progress tracking features allow them to see their completion status in real time.

  • Ongoing Monitoring

The system continues to monitor contractor compliance throughout their engagement, prompting any necessary renewals or additional training as required.

Key Updates

Admin -> Contractor Management -> Inductions

A new section has been added for defining an Induction.

The following question types can be used in Inductions:

  • Check Box
  • Dropdown List
  • Dropdown Yes/No
  • Label
  • Multi Line Text Box
  • Multi Select Box
  • Signature
  • Single Line Text Box
  • Video Link

A new Question Type, "Video Link," has been created specifically for Inductions, currently configured to work exclusively with YouTube links. It allows users to paste the YouTube URL, accepting various formats. When selecting this Question Type, an input for "Video Link/URL" is provided, which extracts the unique Video ID from the URL for rendering on the Induction page.

Admin -> Inductions

  • Video Requirement: The "Required" checkbox indicates whether a video must be watched in full before the induction can be saved. Marking a video as 'Required' requires it to be fully viewed before any related questions can be answered.

Admin -> Recipient Requirements

  • Control-Type: An 'Inductions' option has been added.

Permit -> Email User

  • A new checkbox labelled "Include Induction Link" has been added, defaulting to ON. This option is only visible if selected users have an expired or expiring induction. Users are now automatically added to the list upon selection from the dropdown for improved usability. The induction information format aligns with emails generated from "CM -> Company List -> Inductions," with possible formatting variations.

Contractor Management -> Company List

  • A new button labelled "Induction" has been introduced between the Company Name and Recipient Count. Hovering over the button provides the tooltip: "This will send a link to any Recipients under this Company with an Expired/Expiring Induction." On both the Company and Recipient List screens, the Company Name and Recipient Name are now clickable links, enhancing navigation.

Contractor Management -> Inductions

  • A message has been added for users without editing permissions on the 'Document' and 'Induction' edit screens: "Your User-Role is not configured to allow Editing of this Item. Please contact your System Administrator for further information."

Contractor Management -> Company List

  • On the Company and Recipient List screens, both the Company Name and Recipient Name are now clickable links, improving navigation for users with numerous sites.

Induction Email Button Details:

  • The "Induction" button is displayed only for companies with at least one assigned Induction Requirement.
  • Clicking the button will show either a confirmation or information message based on the status of the company's Recipients/Inductions.
    • No Outstanding Inductions: If no recipients have expired or incomplete inductions, an Information message will state:
      • "There are currently no Expired, Expiring or Incomplete Inductions for < COMPANY_NAME >."
    • Recipients with No Linked Accounts: If all recipients with outstanding inductions lack linked user accounts, an information message will indicate:
      • "All Recipients for < COMPANY_NAME > with outstanding Inductions DO NOT have linked User-Accounts and will therefore not be emailed. Please ensure that any Recipient who is required to complete an Induction is linked to a User-Account."
    • Recipients with Linked Accounts: If there are recipients with linked user accounts, a confirmation message will read:
      • "Links for any Expired, Expiring, or Incomplete Inductions will be sent to: < USER_LIST >. The following Recipients will NOT be emailed about their outstanding Inductions as they DO NOT have linked User-Accounts: < RECIPIENT_LIST >. Do you wish to proceed?"
    • After confirmation, emails detailing outstanding inductions will be sent to recipients with linked accounts. The email will include:
      • Induction Table: Columns for Description (always included), Site (if site-specific), Area (if area-specific), Status (always included), and Expiry Date (if applicable).
      • Once emails are sent, the page refreshes with a toast notification: "Induction Emails Successfully Sent."

Our new Inductions Module is a vital tool in our Contractor Management system, designed to ensure that all contractors are fully prepared to meet the standards of your organisation.

 1.1.2.Add Sign Out Option

This update introduces significant enhancements to the "Additional Signatures" section of the Permit Management System, with improved usability, layout revisions, and new functionality for better tracking of sign-in and sign-out activities.

Key Updates

  • User Interface Changes:
    • Removal of "Sign In / Out of Permit" Button: The button has been removed from the bottom of the screen for a cleaner layout.
    • Repositioning of "Additional Signatures" Section: This section is now positioned immediately above the action buttons at the bottom of the screen for improved accessibility.
  • Revised "Additional Signatures" Layout:
    • Existing signatures will now display in a list format with the following columns:
      • Print Name
      • Contact Details
      • Sign-In Total (number): This clickable link allows users to view all sign-in/out activities of a person.
      • Latest Sign-In (date/time)
      • Latest Sign-Out (date/time)
    • New Action Buttons:
      • Each row will include:
        • Sign-Out Button: Allows users to add a signature-out for a person with no corresponding sign-out.
        • Sign-In Button: Enables users to add a new sign-in against a person record when there is a corresponding sign-out available.
        • Open/Info Icon: Provides access to view existing data related to the person's sign-in/out activities.
      • Add Person Functionality:
        • A button at the top of the "Additional Signatures" section allows users to add new persons easily.
        • The dialog that opens upon clicking this button or the row-level action buttons includes:
          • Editable Signature Canvas (mandatory)
          • Print Name (editable when adding a person)
          • Contact Details (editable and optional)
        • Data Updates Upon Save:
          • When completing details and clicking "Save":
            • New persons are added alphabetically.
            • Sign-in totals are updated.
            • Latest sign-in/out dates are updated accordingly.

Workflow Screens

The "Additional Signatures" section will be integrated into the following screens:

  • Issue/Reissue: Functionality remains consistent with the Permit Edit screen.
  • Handback/Close & Reject: Similar functionality as the Permit Edit screen with the removal of the "Add Person" and "Sign-In" buttons, as only sign-out is applicable in this context.

Sign-Out Checks

New Warnings Added: Users will be notified of individuals who are currently signed in and have not signed out on the following screens:

  • Handback: Checks are performed during the final steps of the permit process.
  • Reject: Checks occur only when the "Reject & Close" action is initiated.
  • Confirmation Options: Users will be given the choice to confirm or cancel proceeding if there are unsigned-out individuals.

Print Format Update

The format of the "Additional Signatures" section will now display one row per person with the following columns:

  • Print Name / Contact Details (if enabled)
  • Signed-In (date/time)
  • Signed-Out (date/time)
  • Signature In
  • Signature Out

The columns will present up to four pairs of the latest sign-in/out dates for each person. Additionally, the vertical size of the signature boxes has been reduced to optimise table space.

This update aims to enhance the user experience by streamlining processes and improving visibility of sign-in/out data. Please ensure that your teams are aware of these changes and adjust workflows accordingly.

 1.1.3.Copying Permits to Different Sites

We are excited to introduce a new functionality that allows users to copy permits to different sites, enhancing flexibility and efficiency in permit management.

Below are the key details of the update:

  • Location of New Setting:
    • Navigate to: Admin -> Settings & Access Rights -> Permit Settings -> Workflow
      • A new checkbox has been added: "Allow Copying of Permits to Different Sites"
    • New Workflow for Copying Permits:
      • When users click the 'Copy' button (or "Create new Permit from Current"):
        • The system will check if the "Allow Copying of Permits to Different Sites" setting is enabled.
        • If the setting is not enabled, the existing copy process remains unchanged.
        • If enabled:
          • A dialogue will appear containing a Site dropdown menu.
          • This dialogue will only appear if:
            • The instance has more than one site.
            • The logged-in user has Create Permit rights for more than one site.
          • The dropdown will default to the current site of the permit being copied but will allow users to select from any sites where they have Create access.
        • After selecting a site:
          • The Permit Edit screen will reload with the copied details from the original permit.
          • If the selected site is the same as the original site, the process remains unchanged.
          • If a different site is selected, the following fields will be affected:
            • The Area dropdown will be cleared.
            • The Risk Assessment dropdown will be cleared (if applicable; note that a Generic Risk Assessment may remain selected, while site/area-specific assessments will not).

This update aims to improve the usability of the permit system by allowing for seamless movement of permits between sites while maintaining data integrity. We encourage all users to explore this new feature and provide feedback.

 1.1.4.Mandatory Checkboxes

We have introduced a 'Required' option for individual checkboxes in the permit questions section. When enabled, users must select these checkboxes to proceed with the permit.

Checkboxes set as 'Required' will now feature a red border to clearly indicate their status.

This update has been applied to:

  • Permits
  • Isolations
  • Permit Inspections

For the new checkbox question types, if the "Tooltip" field is filled out in the Admin -> Permit Version -> Question Edit screen, it will now be displayed next to the checkbox instead of as a tooltip on hover.

These enhancements aim to improve user experience and ensure compliance with permit requirements.

  5. PTW-1998 - When requesting full deisolation of an active isolation, we encounter an RD-related error, despite RDs not being used in the PTW instance.
  6. PTW-2006 - Multi-Reissue Recipient Bug
  7. PTW-1999 - Error when trying to add a new signature to the Additional Signatures section using the Add Person button
  8. PTW-2002 - Console error when trying to delete a video type question from Inductions
  9. PTW-2004 - Dropdown Yes/No control types for inductions display 0 or 1 when not editable.
  10. PTW-2003 - The induction title is only taking one column width on the view screen
  11. PTW-1973 - Long Term Isolations not Pickable
