Petfood manufacturer - Permit system is a 'Pleasure to use'

One of the world’s largest Petfood manufacturers sought a replacement for it’s dated paper-based system
Background
Our client, A major petfood manufacturer ingredients manufacturer had been looking for a digital system to replace their paper-based system. They found Pisys after an online search and were immediately impressed by the demo videos which did not require contact details to be entered in order to view.
Challenge
“The existing paper based system was not capable of keeping pace with the demands made of it by an increasing number of permits” ,said the site EHS manager, “We had no central visibility of permits and we were experiencing major delays in processing permits simply due to the time it was taking to print and manually move the paper copies around the site during issue and handback etc. , we also had concerns that SIMOPS were not being well managed which was a major safety issue.
A fundamental issue with paper based permits is that we only had one standard paper template, so if you were trying to issue a working at height permit you also had to wade through all the other permit questions which were not applicable
Because of our IT security requirements we also needed a system which we could host locally – this proved to be a big problem for some of the vendors we spoke to
Auditability was difficult with our paper based system so we wanted to be able to see who had touched a permit throughout its lifecycle, with the ability to view any changes made”
Solution
When we went to market I found the Pisys system online. I was impressed with what I saw and decided to get in touch with them. I had a reply almost instantly. We had a quick conversation where I described the things I was looking for, and Pisys were able to provide nearly everything I was looking for”, he continues:
“We arranged an MS Teams meeting so that the site stakeholders could see the demonstration and to meet the guys at Pisys, that went well, and we progressed to a hosted trial for our site. The steps required to get the trial up and running were explained clearly, and it allowed us to have a temporary solution up and running in very little time.
One of our requirements was to have the solution hosted onsite, again no problem, every step of the installation was straightforward and the support I received was perfect”
“The trial went well – Pisys gave us enough time to work through all our requirements and they were really quick to respond to all our questions, we were able to onboard all our key users and it was easy to make the decision to adopt the Pisys system”
Result
“Now that we have the Pisys solution, we can have a paperless, auditable permit to work system that is a pleasure to use. During the Covid lockdown, we were able to host a Teams meeting and go through the completion of a permit with a contractor whilst still maintaining social distancing. This method still allows for a meaningful conversation to take place without the pressure of needing to be too close to each other.
We have gone from a system that could take a while to complete causing delays in getting work done, to now having a solution that saves time, is auditable, user friendly and gives indication where work is being undertaken around the site therefore improving site safety.
The feedback from contractors has been positive and they have been happy to use it when they come to site. Having a central view of all permits is fantastic – it helps us quickly identify any potential issues and plan work to fit around other activities taking place.
The ability to have different permit types co-existing on the same system is also game-changing and really saves time “
