The following is a full list of features that were implemented in PTW v1.7.3.3 release.

 1.1.1.Bigger Font for Isolations Table

We have added a feature that allows users to change the font size of Isolation tables directly from the admin screens. Font size can now be adjusted for this table, as well as for all other tables, using the input option available at the top of the "Configure Table" screen.

 1.1.2.Risk Assessment Module changes

While we are still waiting for feedback on the Risk Assessment module as a whole, the following changes have been identified as ones which will make it more flexible and easier for customers to adopt:

  1. Remove the restriction which requires RAs to be Site/Area-specific.
  2. Allow a single RA to be assigned to multiple Permits.

Updated as follows to allow an RA to be created/saved without the selection of a Site/Area:

  • User Admin
    • In addition to the existing Site-level RA-Rights assigned to a User, a new RA-Rights setting has been added for the overall User for "Generic RA Rights" with descriptive text:
      • Rights for 'Generic' Risk Assessments, i.e. those which are NOT assigned to a Site/Area"
    • This will therefore continue to allow definition of who can edit RAs for specific Sites, as well as determine which Users are allowed to edit Generic RAs using a combination of both or one or the other
  • RA List
    • Results on this screen updated to consider both the Site-level and User-level RA-Rights, e.g.
      • A User with ONLY Generic RA-Rights will only see the non-Site-specific Ras.
      • A User with NO Generic RA-Rights will only see the Site-specific RAs for the Sites they have access to.
      • A User with BOTH Generic and Site-specific will see all non-Site-specific RAs as well as the Sites they have access to.
  • RA Edit
    • Site changes.
      • If the user DOESN'T HAVE Generic-RA Rights, the Site dropdown will work in the same way as before, i.e.
        • Default option will be "-- Select --"
        • Site-selection is mandatory.
        • Dropdown does not contain an 'All Sites' option.
      • If the user DOES HAVE Edit rights on Genetic RAs, the "-- Select --" option will be replaced by "-- Applicable to All Sites --" and can be saved with that option selected, i.e. non-mandatory and no need to choose a specific Site.
    • Area changes
      • The Area dropdown has been updated to replace the original "-- Select --" option with "-- Applicable to All Areas --"
      • This is applied regardless of the user's Generic-RA Rights, since they are allowed to create Site-specific RAs without the need to specify an Area.
      • Furthermore, after selecting a Site, the default Area option will be appended with the Site name, e.g. "-- Applicable to All Areas in Aberdeen Office --"
      • This should help provide clarity that the RAs can be selected against a Permit in the Site, as opposed to just any Permit across all Sites.

Category filters added to the following screens:

  • Job Step -> Hazard Select -> Hazard Category
  • Hazard -> Element/Child Select -> Control Category

The "Hazard Category" filter functions as expected by displaying only the hazards that fall within the selected category. In contrast, the "Control Category" filter operates a bit differently; it not only shows the controls within the selected category but also includes any controls that have already been selected.

 1.1.3.Risk Assessment Revisions

The following changes have been made in relation to Revisions and to allow the same RA to be connected to multiple Permits:

Risk Assessments

  • List
    • With the introduction of Revisions, the List screen data has now been updated to show the values from the latest Revision for the following fields:
      • Title
      • Description
    • Selecting to Edit an RA opens the latest Revision.
    • Selecting to Copy an RA uses the latest Revision.
    • RAs with any Revisions cannot be deleted from the list screen (i.e. the Revisions would have to be removed first).
    • The list screen now contains two extra columns for "Permits" and "Revisions":
      • Permits
        • Depending on the number of connected Permits, this column will contain either the single Permit number, or the count of how many Permits are connected.
        • Either way, it will be a hyperlink opening the single Permit or a new tab listing all connected Permits.
        • NOTE: The List screen shows the number of Permits connected across ALL Revisions for the current RA.
      • Revisions
        • The Revisions column lists the number of revisions that RA has gone through.
        • If it has never been revised, the column will be blank.
  • Edit
    • Editing
      • The ability to edit an RA is determined by the following:
        • User can edit RAs.
        • The RA either has no Revisions, or it is the latest Revision.
        • The RA is NOT connected to any Permits which have progressed beyond 'Created'.
        • EITHER there is no existing connected Permit, OR there is at least 1 Permit, BUT editing connected Permits is allowed.
    • Archiving
      • The ability to Archive an RA is determined by the following:
        • User can Archive RAs.
        • The RA either has no Revisions, or it is the latest Revision.
      • Archiving an RA archives it and all previous revisions.
    • Create Revision
      • The ability to create a Revision is determined by the following:
        • The RA is not editable, i.e. changes can only be made by creating a Revision.
        • The RA either has no Revisions, or it is the latest Revision.
      • Creating a Revision shows a Toast message and refreshes to display the new Revision.
    • Delete Revision
      • The ability to delete a Revision is determined by the following:
        • User can delete RAs.
        • The RA is editable, i.e. don't allow removal of a read-only RA.
        • The RA either has no Revisions, or it is the latest Revision.
        • NOT the ORIGINAL/BASE RA.
      • Deleting a Revision shows a Toast message and refreshes to display the previous Revision.
    • Switch Revision
      • A dropdown is provided at the top-right of the screen containing all Revisions for the current RA.
      • Only displayed if there are any Revisions.
    • Locked Fields
      • After creating a Revision, the following fields are 'locked', i.e. to keep them consistent throughout all Revisions:
        • Reference Number
        • Site
        • Area
    • Like the RA List screen, the "Permits" field now displays data based on the number of connected Permits, i.e. either the single Permit No or the count of how many Permits are connected
      • If a single Permit, the Permit No and Description are displayed as a hyperlink
      • If multiple Permits, the count is shown along with a "View Permits" button
        • NOTE: The Edit screen shows the number of Permits connected to the specific Revision.

Permits

  • List
    • When viewing the list of Permits connected to an RA, this opens a new tab with the default view differing based on where it was opened from, i.e.
      • Open from the List screen, shows all Permits across all Revisions for that RA.
      • Open from the Edit screen, shows all Permits for that specific Revision.
    • In either case, it is the same screen with the ability to filter to a specific Revision or to view all.
  • RA Selection/Options
    • The list of RAs available for selection under a Permit is:
      • Any 'Generic', i.e. non-Site-specific
      • Any Site-specific to the selected Site without a specified Area
      • Any Area-specific to the selected Area
    • NOTES:
      • If using Admin setting "Only Complete/Fully-Scored Risk Assessments can be used to Create Permits", any RAs which are not Fully-Scored will be excluded.
    • The option display has the format " - (Rev. )"
      • If there is no Revision, or the selected RA was the original, the 'Rev.' suffix will not be shown.

 1.1.4.Risk Assessment Reference Number Auto-Generate

The Risk Assessment "Reference Number" field for our Risk Assessment module is currently free-text and mandatory.

While some customers may want this to give them flexibility in the formatting of their RA References, others may just want a unique, auto-generated number functioning in the same way as the Permit/Isolation Numbers, and not have to worry about what the actual reference is.

We have therefore added an Admin setting to allow for the instance to either auto-generate or leave as free text, with the default for any new instance being to auto-generate.

 1.1.5.Limit to Company

Currently, when a user with restricted access clicks on a permit link assigned to another company, they are redirected to the Permit List screen without any explanation. To improve user experience, we have added a message that informs them that the permit belongs to another company and is not accessible to them.

 1.1.6.Permit Version - Preview Enhancements

We have updated the Permit Version Preview, which demonstrates how a Permit will appear when using a specific version. The updates include:

Top-Question/Panel Usage

For Panels containing a 'Top-Question', the display of the related Panels/Questions under the applicable Previewed Workflow tab will now be triggered based on the Yes/No selection of the 'Top-Question.'

Handback

The 'fixed' Handback fields/section will be displayed based on the options selected for Handback. This includes:

  • 'Details of the Work Done' textbox
  • 'Improvement Feedback' textbox
  • 'Completion Details' textbox
  • 'No Work Done' checkbox

 1.1.7.Isolation Version - Preview Enhancements

We have updated the Isolation Version Preview, which demonstrates how an Isolation will look when using that specific Version. The updates include:

Added a "Preview Status" dropdown in the top-right corner of the screen. This dropdown will include all the statuses relevant to the selected version. When an option is selected, the screen will refresh to display a table that shows how it will look when the Isolation is set to that status. Specifically, this will affect which columns are enabled or disabled, and any required columns will be highlighted.

 1.1.8.Isolation Table Improvement to add a button to blank entire columns in the isolation table after a copy is made

When copying an isolation, all data appears in the table. This can create problems for columns used for isolation and deisolation confirmation. Users needed a way to reset all cells in a column to their default state. This includes making text boxes blank, setting dropdown lists to their default options, and clearing signature controls.

We have updated our isolations table to include two new buttons/icons labelled 'Clear' and 'Revert' in the header of each editable column. Clicking either of these buttons will prompt a confirmation message to the user before executing the action. It's important to note that the ability to revert to the original values is available only until the isolation is saved; after that, the original values will be overwritten.

 1.1.9.Isolation Table Control "Required Before Isolation in Place"

Isolations sometimes need to be saved without all the required data in place. Almost like a draft for a second person to take over and complete before the isolation is in place. To address this, we have added an option called "required before isolation in place".

This feature allows an isolation to be saved even if some fields are left blank; the "required" check occurs when there is an attempt to progress the isolation rather than during the saving or creation process.

We have made the following changes:

  • Under "Isolation Version -> Details Table -> Column Edit", add a new column under the 'Workflow Status' section for "Required Before: XXX"
    • The "XXX" will dynamically display the next workflow step for the current Isolation Version, i.e.
      • If using 'Request Approval', it will say "Required Before: Approval Requested"
      • If NOT using 'Request Approval', but using 'Approve', it will say "Required Before: Approved for Isolation"
      • If using neither of these, it will default to "Required Before: Isolation In Place"
    • This column will display a single checkbox in the "Created" row (i.e. it's only needed at that stage since the existing "Required" column/checkbox can be used to satisfy a mandatory requirement at any future workflow step)
  • In the Isolation Edit screen, a check will be made on the button-click which progresses the Isolation from 'Created' as to whether any columns have been flagged as "Required Before: XXX"
    • If so, highlight the cell(s) and do not allow the Isolation to progress until a value has been specified

1.1.10. Multi-Select Box Options Sort Order

We have updated the system to include a new button/icon in the Question List, located next to the existing 'Add Option' button. This new button opens the generic Sort Order screen, where you can drag and drop options to arrange them in your desired order.

The updated order will be reflected in both the Question List and the Permit Edit/Preview screens.

1.1.11. Permit Markers Displayed Based On Panels

When determining the marker displayed on site plans and the header colour on the permit board, it is important to consider all panels that are visible during every stage of a permit's workflow, not just those visible during the creation stage. We have updated the Permit Max-Panel calculation to include panels that contain questions at any step in the workflow, rather than only those visible at the creation stage.

1.1.12. Custom Filters for Isolations

We have added customisable filters within our isolations module, mirroring the functionality found in our Permit module. This enhancement allows users to tailor their filtering options to meet specific needs, providing greater flexibility and control over the isolation process. With these new custom filters, you can refine your searches and streamline your workflow, ensuring that you can quickly access the relevant information required for effective safety management.

1.1.13. Create New from Current (Copy) for user rights in the system

A "Create New from Current" button has been implemented across several important pages. This enhancement allows users to effortlessly create new rights while automatically populating all the relevant checkboxes with their existing selections, streamlining the process and saving valuable time.

We have updated the system to incorporate this copy functionality for the following screens:

  • Admin Rights
  • Permit Rights
  • Isolation Rights
  • RA Rights
  • RD Rights

Also updated existing 'Copy' methods in the system to show a Toast message after completing the Copy, i.e.

  • Permit Question
  • Isolation Question
  • Inspection Type
  • RA Matrix
  • Risk Assessment

This will enable users to easily duplicate existing settings and configurations, further enhancing efficiency and usability.

1.1.14. Display the PTW Instance Customer ID on the Login Screen

With the launch of our PTW App, we recognised the importance of providing users with easy access to their PTW customer ID directly on the login screen. This enhancement allows users to quickly locate their unique customer identification information, streamlining their experience with the app.

As part of this update, we have displayed the Customer ID on both the Login screen and the User Profile screen. Additionally, we have included a clear and concise explanation to help users understand the significance of the Customer ID and how it can be utilised within the app.

1.1.15. Contractor Ratings

We have updated the system to add settings to the "Admin -> CM Type" to flag either the "Contractor Rating" or "Details of Performance" as 'Required', i.e. alongside the existing toggles which determine whether to display/hide the inputs on the Handback screen.

In making this change, the layout of the "CM Type" screen has been revised slightly to keep the 'Show' and 'Required' settings together, as well as giving more information on what the Fields are.

1.1.16. Allow Drag & Select on Checkbox-heavy Screens

On the Permit/Isolation Rights and Permit/Isolation Version-Workflow screens, there are a substantial number of checkboxes available for selection, potentially ranging from 50 to 100 individual options. Manually selecting each checkbox can be time-consuming and cumbersome for users.

To enhance the user experience and streamline the process, a new feature has been implemented that allows for group checkbox drag-selection on the following Admin screens:

  • Settings & Access Rights:
    • Admin Rights
    • Permit Rights
    • Isolation Rights
    • Routine Duty Rights
    • Risk Assessment Rights
  • Permit Version
    • Workflow Settings
    • Question Edit (Workflow Steps)
  • Isolation Version
    • Workflow Settings
    • Points of Isolation Column Edit (Workflow Status)

To deselect items while using drag-selection, hold down the CTRL key and then drag the selection boxes you want to deselect.

This functionality enables users to easily select multiple checkboxes at once, significantly reducing the time and effort required to manage their choices effectively.

1.1.17. "Send to Approver" option for Permit-Expiry

We have introduced an additional option labelled "Send to Approver" specifically for when a permit reaches its expiration date. This functionality allows users to easily notify the designated approver for an efficient review and renewal process. Alongside the existing options, this enhancement streamlines the management of expired permits, ensuring that all necessary parties are informed and can take timely action.

1.1.18. Display Permit and Isolation Versions on List and Edit screens

It was previously challenging for users to determine the specific Version under which a Permit or Isolation was created due to the need to manually cycle through the various options in the 'Version' filter on the List screens. To address this issue, we have implemented a more intuitive solution that allows users to quickly identify the Version associated with each Permit or Isolation.

On the List Screen, users will now notice a new tooltip that appears when hovering over the Reference Number hyperlink. This tooltip will provide immediate information regarding the Version of the Permit or Isolation.

In addition, we have added a small footer text that appears on the Edit Screen, situated just below the action buttons. This text will clarify the Version information, but will only be visible after the Permit or Isolation has been successfully created.

These enhancements are designed to improve user experience by providing clear and accessible Version information at a glance.

    The following list of bugs was identified and fixed in this release:

    1. PTW-1861 - Creating Blank Permit Question Version
    2. PTW-1865 - The Permit Table and Isolations Table fail to automatically adopt the default font size when new entries are created.
    3. PTW-1866 - Google Map View Issue
    4. PTW-1868 - Risk Assessments cannot be created if a Risk Matrix is not setup in the system
    5. PTW-1876 - The PDF Font Size dropdown and the Copy Permits dropdown no longer expand to select a different option.
    6. PTW-1877 - The Override Hours function is no longer being applied
    7. PTW-1878 - The View Permits & Isolations button in Admin/Permit Version/Isolation Version is no longer filtering the permit list screen
    8. PTW-1880 - Isolation Custom Filters get copied and duplicated when the Isolation Version is copied
    9. PTW-1882 - Validation issues for the Isolations table in edit and preview screens
    10. PTW-1884 - Copying an existing RA also copies the Auto-Generated Ref Number
    11. PTW-1885 - When creating a new permit for users who have only Generic RA rights OR no Generic RA rights, site-specific and non-site-specific RAs are available for selection
    12. PTW-1886 - A User with NO Generic RA-Rights will continue to see the Site and Area dropdowns as required fields
    13. PTW-1892 - Archiving a Site or Area within a site shows the archived record and stops the "Show Archive" toggle from working
    14. PTW-1894 - If an isolation version is set up to NOT use the Create stage, no isolation table is visible at any subsequent stages of the workflow
    15. PTW-1895 - When a Panel is no longer 'Used', ensure that any underlying fields are cleared
    16. PTW-1897 - Adding a custom Hazard for an existing Job Step but then clicking the "Return to RA" button goes into an empty RA edit screen
    17. PTW-1898 - Isolation List Screen - Update Status Filter to display text as per List & Edit screen Statuses.

    The following list of Security Updates was identified and fixed in this release:

    1. PTW-1890 - Login-bypass when logged into 1 Instance and opening another.
